Practice Manager – Plastic Surgery Center (Denver, CO).

Location: Denver, Colorado.
Position Type: Full-Time.
Reports To: Ownership/Executive Leadership.

Overview:

We are seeking a dynamic, strategic, and hands-on Practice Manager to lead the daily operations of our high-growth Plastic Surgery and Medical Aesthetics center in Denver. This leader will wear many hats — from overseeing operations and driving financial performance to coaching team members and converting surgical consults into booked procedures. The ideal candidate will thrive in a fast-paced environment, approach challenges with a solutions mindset, and consistently deliver a “WOW” experience for both patients and staff.

Key Responsibilities: 

Operational Leadership:

  • Develop and implement SOPs to streamline clinic operations and maximize patient flow.
  • Manage scheduling, front-desk performance, and coordination of surgical and non-surgical services.
  • Ensure medical equipment, surgical supplies, and treatment rooms are fully stocked and properly maintained.
  • Serve as the communication hub between ownership, clinical staff, and support teams.


Human Resources & Team Management:

  • Hire, train, and develop both administrative and clinical teams.
  • Hold weekly or monthly staff meetings to foster alignment, transparency, and accountability.
  • Provide clear coaching and feedback, including a willingness to have hard conversations that promote trust and professional growth.
  • Lead performance evaluations, corrective action planning, and employee development efforts.
  • Maintain a people-first culture that drives results, trust, and morale.


Sales, Conversion & Lead Management:

  • Follow up on all surgical and aesthetic leads promptly via phone, text, and email.
  • Build rapport with prospective patients to guide them toward treatment decisions.
  • Track conversion metrics from consult to close, and re-engage patients with expiring quotes or pending decisions.
  • Collaborate with the marketing and surgical teams to optimize the customer journey and increase patient commitment.
  • Deliver an exceptional, concierge-style service experience that builds brand loyalty.


Financial Oversight & Reporting:

  • Collaborate with CFO to prepare monthly financial statements and dashboards using EMR and reporting tools.
  • Monitor accounts receivable, patient pre-payments, deposits, and surgery balances.
  • Ensure timely vendor payments and work with the finance team on reconciliation and reporting.
  • Identify and implement cost-saving initiatives without compromising the quality of care.


Payroll & Benefits Administration:

  • Process bi-weekly payroll, ensuring accurate tracking of timecards and bonuses.
  • Handle sensitive employee data with confidentiality and care.
  • Administer employee benefit programs and manage open enrollment and inquiries.


Credentialing & Compliance:

  • Manage provider credentialing and re-credentialing with all payers and regulatory bodies.
  • Ensure up-to-date licensure, certifications, and malpractice coverage.
  • Maintain full compliance with HIPAA, OSHA, and all state/federal health regulations.


Marketing, Digital Presence & Brand Strategy:

  • Partner with internal/external marketing teams to develop and execute campaigns (digital, print, events).
  • Oversee website updates, social media presence, and reputation management (e.g., Google reviews).
  • Track campaign performance and use data to inform marketing and outreach efforts.
  • Identify local outreach opportunities and organize patient education events or open houses.


Strategic Growth & Business Development:

  • Collaborate with ownership to develop and implement plans for service expansion and revenue growth.
  • Identify opportunities to improve patient retention, referral relationships, and pricing strategies.
  • Analyze KPIs and financial performance to inform decision-making.
  • Proactively identify industry trends, new technologies, and competitive differentiators.

Preferred Qualifications:

  • 3–5+ years of leadership experience in a plastic surgery, dermatology, aesthetics, or multispecialty medical setting.
  • Experience with EMR and CRM platforms (Nextech, ModMed, or similar).
  • Strong understanding of HIPAA, OSHA, and credentialing requirements.
  • Proven track record of team management, sales follow-up, and financial accountability.
  • Bachelor’s degree in Healthcare Administration, Business, or related field preferred (but not required if experience is exceptional).
