Position Overview: We are seeking a highly organized, proactive, and detail-oriented Project Manager with a focus on leadership coordination as well as experience with clinical research. This hybrid role combines administrative support, project management, and research coordination to ensure efficient operations and successful project execution. The ideal candidate will have experience in managing executive schedules, overseeing cross-functional projects, and coordinating research activities, all while maintaining a high level of confidentiality, organization, and communication.
Key Responsibilities:
Project Management Duties:
• Oversee and manage multiple projects from inception to completion, ensuring deadlines are met.
• Draft and prepare correspondence, presentations, reports, and other documents for executives.
• Assist in preparing agendas and materials for meetings, ensuring executives are well-prepared.
• Act as a liaison between executives and internal/external stakeholders, fostering effective communication.
• Develop and maintain project timelines, budgets, and resources, adjusting as necessary.
• Coordinate cross-functional teams and stakeholders to ensure smooth project execution.
• Track project progress, identify risks, and propose solutions to mitigate delays or issues.
• Prepare project status reports, tracking milestones, deliverables, and key performance indicators.
Research Coordination Duties:
• Manage research databases, track findings, and Facilitate contract, budgeting, regulatory, IRB submissions between site and outside vendors (from concept to final deliverable).
• Serve as liaison to collaborating departments, IRB, and external regulatory agencies.
• Coordinate research initiatives, ensuring compliance with timelines and objectives.
• Assist in acquisition of research protocols for various sites.
• Communicate with researchers and stakeholders to facilitate collaboration and progress.

Qualifications:
• Bachelor’s degree or equivalent experience in Business Administration, Project Management, or related field.
• Proven experience as a Project Manager and Research Coordinator.
• Strong organizational and multitasking skills with the ability to manage competing priorities.
• Excellent written and verbal communication skills.
• Proficiency in project management software (e.g., Asana, Trello, Microsoft Project) and MS Office Suite.
• Knowledge of research methodologies, data collection, and analysis techniques is a plus.
• Strong problem-solving skills and attention to detail.
• Ability to work independently, take initiative, and collaborate effectively with diverse teams.
Preferred Skills:
• Certification in Project Management (e.g., PMP).
• Experience with research compliance and ethical guidelines (e.g., IRB processes).
• Familiarity with data management and analysis tools.
